We answer our
client's phones with a live operator, with a scripted, recorded greeting,
and with a combination of these two services. Live Answering: Our clients either forward their calls to us using call forwarding services from their telephone company, or by using the private telephone number we assign to them here. In either case, our operators answer the incoming calls with an agreed upon answer phrase identifying the client's organization. We then get the information from the caller our client has requested, and handle the resulting message in one of several ways, depending upon the client's needs. We may deliver the message by fax at the time the call is received, or at set time(s) of the day. We may deliver the message to an alphanumeric pager. Or, we may hold the message for the client to pick up from the operator at a convenient time to the client. back to menu If the client has indicated that there will be certain calls that are urgent, we will handle those calls differently, again depending upon the client's instructions. We may take the message and reach the client by cell phone, alpha pager, home phone, numeric pager, etc. Or, we may place the caller on hold and reach the client by one of the above means, and then patch the calls together. back to menu Radio dispatch: If our client has vehicle that carry two way radios, we will take the call, get the location of the person calling (typically a vehicle needing a towing service) and will then dispatch the next driver in line to the site. back to menu Order Entry: If our client has contracted with us to take orders for his product(s), we will take the caller's order including the caller's name, their credit card number, their shipping and billing addresses, the product(s) ordered, and the quantity ordered. We will quote the price of the products, any shipping and handling, and the shipping schedule given us by the client. We will typically fax the resulting order to the client at the start of the next business day. back to menu Voice Mail: The second means of answering is with a scripted and recorded voice mail greeting. Typically, the greeting invites the caller to leave a message at the tone. Multilevel voice mail invites the caller to press a key to reach an individual or a certain function. The caller then hears a second message which may be information only with no message taken, or may also invite the caller to leave a message. Any voice mail bus may be configured to page the client whenever a caller leaves a message. back to menu Voice Mail with Operator Assistance: A special case of voice mail combines a scripted, recorded greeting with an option for the caller to reach an operator in the event the call is urgent. Once the caller reaches an operator, the options for live service noted above are available. back to menu |
